6 Step Client Onboarding for Entrepreneurs

Create an easy onboarding system for your new private clients.

As an entrepreneur, one of the most critical aspects of your business is your clients. Without clients, there is no business. But getting clients is just the beginning. You also need to onboard them properly to set the stage for a successful and long-lasting relationship. 


Finding a system that works for you and helps you track the progress is so helpful. The first 14 years in my business I did this all manually. That's where
HoneyBook comes in, I was introduced to this CRM system to help me manage my business with much more ease.


I’m going to walk you through the onboarding set up I use and support my clients in creating as well. 


Here is the 6 step process for client onboarding for entrepreneurs using
HoneyBook.


Step 1: Fill out an online application to apply to work together. 


The first step in the onboarding process is to fill out an online application. This application should be easy to use and understand while still gathering all the necessary information about your potential new client.
Honeybook makes this step easy by allowing you to create a customized intake form that fits your business needs.

Step 2: Schedule a clarity call to explore what working together might look like. 


Once you receive the application, it's time to schedule a clarity call. This call should be an opportunity for you and the client to explore what working together might look like. You can ask questions about their business needs, and they can ask questions about your services.
HoneyBook makes scheduling easy by allowing you to send calendar links and automate appointment reminders.


HoneyBook does have an option to integrate your calendar through there system. I personally still use
Calendly as I’ve been happy with their service for over 3 years. 



Step 3: Hold the clarity call so we can get to know each other, and if it feels like a fit, share the next steps. 


During the clarity call, it's essential to get to know each other and determine if it's a good fit. If it is, share the next steps with the client. For me this means sending a proposal, contract, and invoice so they can see everything in writing.
HoneyBook makes this step easy by allowing you to create templates for each document and automate the sending process.


Bonus tip: I love to host my calls on Zoom so that I can share my screen to review the proposal, personalize the proposal while we’re on the call and then email them the proposal while their on the line to make sure they’ve received it. There is nothing worse than feeling like you’ve been ghosted, when in reality they didnt receive the email or worse it ended up in SPAM.



Step 4: Send a follow-up email 2-3 days after the call. 


Once you've determined the best way to move forward, it's time to send a follow-up email within just a few days. This email should include the proposal, contract, and invoice based on what was discussed during the clarity call also sharing any new thoughts that have come up since you spoke. Following up can take anywhere from 2-30 touches before a prospect decides to move forward and says yes to working with you. Create a follow up plan that feels in alignment with you and stay consistent in touching base.


Step 5: A welcome email will be sent out within 24 hours of receiving the aprroved proposal with the contract and paid invoice. 


This emails should include your first call link, new client documents, and any first steps or prep work that should be completed before your first call. Honeybook makes it easy to automate this process so that the welcome email is sent within 24 hours of receiving payment and your new client gets excited for the work you’ll do together.


Step 6: Workflow and tracking process to manage emails and information sent, including testimonials. 


Finally, it's essential to have a workflow and tracking process in place to manage emails and information that has been sent. This can include tracking each client's status and any emails or documents that have been sent. Honeybook makes it easy to follow everything all in one place. Collecting and showcasing testimonials from happy clients is a great way to grow your business and showcase them on your website.

When you're talking but no one's listening. Have you ever introduced yourself at a networking event… only to feel like people’s eyes glazed over? One of my clients put it perfectly: “Darlene, I share who I am and what I do, but it feels like I’m invisible. People nod politely and then move on.” She had so much value to offer. In fact, she is amazing at what she did. Yet, her introduction was all over the place. Some days she was talking to potential clients, other days to possible collaborators, and sometimes even she wasn’t sure what her main point was. And that’s why it felt like no one was listening. Why This Happens It’s not because you’re not experienced enough. It’s not because you’re not interesting enough. It’s because without clarity about who your audience is in the room and what you really want to say, your voice gets lost in the shuffle of business cards and conversations. Networking rooms are full of people competing for attention. If your message doesn’t connect directly... if it doesn’t make them pause, lean in and say, “Tell me more” ... it disappears before they even leave the event. The Shift When this client and I worked together, the first thing we did was get crystal clear about: Who she most wanted to reach in the room. What those people actually cared about. How her work specifically helped them. Once she had that clarity, her introductions started sounding different... more direct, more alive, more her. And the result? People leaned in. Instead of walking away, they asked questions. They followed up after the event. They booked time with her. Because when you find your voice and know exactly who you’re talking to, you stop being forgettable. You become someone people can’t ignore. Try this right before you speak: Inhale quietly through your nose for a count of 4. Hold your breath for a count of 7. Exhale slowly and fully through your mouth for a count of 8. Repeat this 3–4 times. It only takes a minute, but it tells your nervous system: You’re safe. You’ve got this.
